Workday headcount / report export
A custom or delivered Workday report of workers "as of" a date, exported to Excel/CSV, that people wrongly treat as a stable, reproducible headcount snapshot.
The shape, how the file is really laid out
Exports carry a report header block, report name, the "as of" or effective
date prompt value, the run timestamp, and sometimes a logo, above the
column header, so the grid does not start at row 1. When the report is
grouped (by Supervisory Organization, Cost Center, or Location), Workday
emits a group-header row and a group SUBTOTAL/count row around each cluster
of worker rows, all sharing the same columns. Worker identity often exports
as "Last, First (Employee ID)" in one cell. Comp and FTE columns carry
currency codes and fractional FTE (0.50, 0.80); everything is effective-dated
and reflects only business processes that had fully completed as of the
prompt date.
The traps
The number is not reproducible: because Workday is effective-dated, re-running the same "as of" date later returns a different count once backdated hires, terminations, or org moves have been entered, the snapshot you saved last month will not match.
- Every trap in this export, worked through
- The reconciliation anchor, the total the file asserts about itself
- The refusal cases, when to stop and ask instead of guess
